1. Process from Consultation to Visa Approval

Contact Us

We will ask you briefly about your current situation (your visa status, nationality, job details, etc.) and arrange a date for the consultation. You may contact us through the inquiry form, email, or LINE. Evening and weekend appointments are available after work hours.

Because we use translation tools, you may send messages in any language.

For inquiries via the form, email, or LINE, no prior appointment is required. You may send a message at any time, 24 hours a day.

Consultation (First Consultation Free))

Your initial consultation can be conducted via online meeting, email, or LINE.

If you are not confident in Japanese, you may speak in your native language. We will use translation tools to communicate smoothly.

We will carefully check whether you can obtain approval based on your current situation.

Even if approval is difficult right now, we will provide clear guidance such as: “Another six months of employment will make you eligible,” or “Let’s prepare these documents.”

We will also provide a cost estimate in advance so you know exactly how much it will cost before starting.

Proposal & Quotation

Based on the information gathered during the consultation (education, work history, current visa, nationality, etc.), we will determine—professionally—which status of residence is most appropriate for your application and propose the best plan.

We will also present a detailed quotation clearly stating the total cost (our fee + actual expenses). No additional fees will be charged.

We will explain the proposal and quotation carefully during an online meeting or in-person meeting. Please feel free to contact us first.

Contract & Payment

Once you are satisfied with our proposal, we will proceed with the formal agreement. We offer flexible payment options tailored to your sitOnce you agree with the quotation, we will proceed with the formal contract (engagement).

To accommodate your situation, we offer flexible payment options:

If the total fee is 100,000 yen or less: Payment is required in full at the time of contract.
If the total fee exceeds 100,000 yen: You may choose either full payment or two installments.

For Two-Installment Payments:
  1. At contract (initial fee): 50% of the total fee (This allows us to begin preparing your documents immediately.)
  2. Upon approval (success fee): Remaining 50% + revenue stamp fee (actual cost) (You will pay the balance once the Immigration Bureau issues the approval notice.)

If your application is unfortunately denied, we will review the reason and reapply once at no additional charge (actual expenses required separately).

Document Preparation

We will prepare all documents required for approval.

For documents you need to provide, we will give you a clear checklist and guide you through the process. The “Statement of Reasons” submitted to Immigration is the most important document affecting approval. We will prepare a persuasive statement tailored to your situation.

Immigration Application

An administrative scrivener will submit the application to the Immigration Bureau on your behalf. You do not need to visit the Immigration Bureau yourself. You can focus on your work or studies.

If the Immigration Bureau requests additional documents or asks questions, our office will handle everything.

Notification of Results (Postcard or Email)

You will receive the result approximately 1 to 3 months after submission. Once you receive your new residence card, the process is complete.

If additional documents are required, the examination period may be extended. However, we will respond promptly and support you until approval is obtained.

2.Procedures Required After Approval

Getting a visa is not a one-time event. You can rely on us for ongoing support even after approval.

• Extension of Period of Stay (Visa Renewal): You must apply to renew your visa before it expires (applications are accepted starting 3 months prior to expiration).

• Renewal Durations: Depending on the screening results, a period of stay is usually granted for 1, 3, or 5 years. *The duration is determined by Immigration based on factors such as recent job changes, company scale/condition, and past residence status.

• Changes in Status (Job or Marriage): You must notify Immigration if your situation changes, such as changing employers or getting married.

• Permanent Residence & Naturalization: We also assist with preparations when you decide you want to live in Japan permanently.

3.Fee Structure (Pricing)

“We offer reasonable pricing that is more affordable than the average professional fee charged by other firms. While keeping your costs to a minimum, we remain committed to providing attentive, high-quality support to ensure your application’s success. Please feel free to entrust your case to us with full confidence.”

4.Frequently Asked Questions

FAQ

I am not very good at Japanese. Can I still consult with you?

Yes, absolutely! We utilize translation tools and text messaging on LINE so you can smoothly consult with us in your native language. We also communicate using Easy Japanese and English, so please feel free to reach out with confidence.

Is there anything I need to prepare for the consultation?

For individual clients, having your Residence Card and passport on hand will allow us to provide smoother and more specific advice. For corporate clients, we kindly ask that you prepare materials such as the prospective employee’s resume and a company profile.

We are a company looking to hire foreign talent. Where should we start?

First, we will ask about the planned job duties and the candidate’s background (education and work history) to provide a free assessment of eligible visa types and requirements. Please feel free to contact us even if you are just in the early stage of "wanting to explore your options."

What regions do you serve? Do I need to visit your office for a consultation?

We primary serve Chiba Prefecture (Tokatsu and Northwestern areas), Tokyo (Eastern area), and Saitama Prefecture (Eastern area). You do not necessarily need to visit our office. Upon request, we can meet you directly at your home, office, or a nearby cafe. We also offer consultations via online meetings (such as Zoom), LINE, and email, accepting inquiries and requests from anywhere in Japan. Evening consultations after work and weekend appointments are also available with prior reservation, so please feel free to let us know your preferred method.

My application was rejected when I applied on my own. Can you still help me?

Yes, we can help. We can accompany you to the Immigration Bureau or check on your behalf to analyze the specific reasons for the rejection, and then propose the best plan for a re-application. (*We also offer a "Free Re-Application Guarantee"—if an application handled entirely by our office is denied, we will re-apply once free of charge with no additional professional fees.)

Can I pay in installments?

Yes. For professional fees exceeding 100,000 yen, you can use our 2-part installment plan (50% retainer fee upfront + 50% success fee upon approval). We provide an estimate in advance and operate on a transparent fixed-fee system, so you will never face unexpected or hidden additional costs.

Can I temporarily travel outside Japan while my application is processing?

As long as your current status of residence remains valid, you can travel abroad temporarily using the Special Re-entry Permit (Minashi Sai-nyukoku Kyoka) system. However, there are important factors to consider depending on the timing of procedures and screening progress, so please consult with us in advance.

If I consult with you, am I required to sign a contract?

No, absolutely not. We never engage in high-pressure sales or suggest unnecessary services. Consultations purely to see if you can do it yourself or just to check if you meet the requirements are very welcome. If it looks like you can handle the process on your own, we will gladly walk you through the steps and key points to watch out for.

I received a quote from another administrative scrivener’s office. Can I consult with you about the cost?

Yes, please feel free to consult with us. While prioritizing attentive, high-quality support, we strive to offer flexible proposals tailored to your budget and circumstances. If you can share the estimate or proposal from the other office, we will check whether we can provide equivalent or superior support at a more affordable price, and re-issue a quote aligned with your expectations as much as possible. Inquiries purely for fee comparison are also very welcome.

How long does it take from application to approval?

Processing times vary depending on the type of status of residence and how busy the Immigration Bureau is, but it generally takes about 1 to 3 months from application to decision. Including the time needed to prepare documents (about 1 to 2 weeks), we recommend consulting with us well in advance—ideally 2 to 3 months before your visa expires.

What is the difference between the documents I gather myself and the documents the administrative scrivener prepares?

Official documents issued by government offices or companies—such as Certificate of Residence (Juminhyo), Certificates of Taxation/Tax Payment, and corporate financial statements—are to be gathered by the client (we can also assist with retrieval). Our office handles the creation of the application forms, thorough verification of all certificates, and complete assembly of the submission package for the Immigration Bureau—most importantly including the drafting of the Statement of Reasons (Shinsei Riyusho), which crucial for approval.

Can I also request visa applications for my family (such as Dependent visas or Spouse visas) together with mine?

Yes, absolutely. Along with your work visa or permanent residency application, we can handle all visa procedures for your family (spouse and children) as a single package. Applying together allows us to eliminate duplicate documentation and streamline the application process for everyone.

What happens if my visa application is unfortunately denied?

Our office thoroughly assesses your chances of approval before taking on your case. However, in the unlikely event that your application is denied, we will file one re-application free of charge with no additional professional fees (Free Re-Application Guarantee). Furthermore, we will accompany you to the Immigration Bureau to strictly verify the specific reasons for the denial and provide optimal advice to turn the result around.

I am an international student. Can I consult with you about finding a job or starting a business in Japan after graduation?

Yes, absolutely! We welcome your inquiry. In addition to changing your status to a "Engineer / Specialist in Humanities / International Services" visa if you have secured employment, we can suggest the best visa options tailored to your path—such as a "Business Manager" visa if you wish to start a business in Japan, or a "Designated Activities" visa to continue your job search.

What is the process after I officially request your services?

Once you are satisfied with the consultation and quote, the process proceeds as follows: ① Formal Contract & Retainer Fee Payment ② Guidance on Required Documents (provided by our office) ③ Document Preparation & Review ④ Application Submission to Immigration (handled on your behalf) ⑤ Notification of Result & Delivery of New Residence Card In principle, you will not need to wait in line at the Immigration Bureau office.

My period of stay has expired, and I am currently overstaying. Can I consult with you?

Yes. Please consult with us as soon as possible before it is too late. Leaving an overstay status unresolved is extremely risky. However, by turning yourself in voluntarily and pursuing proper legal procedures (such as applying for Special Permission to Remain or coordinating return procedures), we can explore the best possible solution for your situation. We will carefully review your legal options, taking into full account your family circumstances and your life base in Japan. Your privacy is strictly protected, so please do not struggle alone—reach out to us today.
